Conditions of Transcript Release and Policies
Authorization to Release Academic Record
In accordance with the University of Toronto’s Access to Student Records Policy, the express written consent of the student/alumnus is required to release the transcript. Transcripts will not be issued to or at the request of third parties without written authorization.
Processing times for orders via ACORN/ROSI (the Student Web Service)
Once a transcript status is “printed” on ACORN/ROSI it will be released as per below:
For orders submitted between the hours of 8:00am – 2:45pm transcripts are processed and released the same business day in the order they were received.
If you have registrations prior to September 1998, you must allow at least 1 to 3 business days for processing since these records are not fully available on ACORN/ROSI.
Students/alumni are responsible for ensuring that transcript orders are submitted well in advance of deadlines. Requests are processed in the order in which they are received in the transcript office or on ACORN/ROSI (the Student Web Service). Students are responsible for ensuring that their transcript order is timed appropriately, e.g., if you request your transcript be issued as soon as possible you should check your academic record on ACORN/ROSI (the Student Web Service) prior to submitting your request to ensure that all marks, CGPA, and academic standing information are updated. The University of Toronto Transcript Centre is not responsible for transcripts that are lost or delayed in the mail.
If any of your registrations were prior to September 1978, you must submit your transcript order directly to the University of Toronto Transcript Centre on a transcript order form.
Orders for transcripts/academic records for the programs/divisions listed below should be directed to the appropriate division:
* Additional Qualifications Program (AQ) program at OISE/UT: 416-978-1684
* School of Continuing Studies: 416-978-2400
* Toronto School of Theology: 416-978-4039 Transcripts must be obtained from Registrar’s office of the member college where the studies were completed (i.e., Emmanuel College, Knox College, Regis College, St. Augustine’s Seminary, St. Michael’s College, Trinity College, Wycliffe College). These transcripts are not part of the University of Toronto consolidated transcript and cannot be requested using the Student Web Service or the transcript order form.
* Woodsworth College Pre-University Program (up to and including 2000 Summer): 416-978-7487

In accordance with the University of Toronto’s policy on student indebtedness, transcripts will not be released for students/alumni with outstanding financial obligations to the University. Students with a financial or administrative hold placed on their record cannot submit a transcript order on ACORN/ROSI. Orders made by mail or by email may be accepted but not processed until the hold has been cleared and is removed from the record. Order forms submitted in person will not be accepted until the hold is cleared. Students/alumni are asked to resubmit their transcript order once their hold has been cleared from their account. For information on how to clear your financial hold on your account please contact the department/division that placed the hold. If the hold was placed by Student Accounts you can contact this office by calling 416.978.2142. If you have outstanding library fines you can pay your fines online on the Library website at https://payfines.library.utoronto.ca/ , by using the First Stop Telephone Service at 416.978.8450, or in person at Robarts Library.
For information on how to clear your administrative hold please contact your home division or college.
Students/alumni are responsible for ensuring that the correct recipient address is listed on their transcript order. The Student Web Service provides a list of commonly used addresses for institutions, however, these addresses may not be up to date/accurate so addresses must be checked and edited to ensure the correct recipient receives your transcript. The University of Toronto Transcript Centre will not be responsible for transcripts sent to an incorrect addresses entered/selected by a students/alumni.
Payment via the Student Web Service (ACORN/ROSI)
Students are only allowed to bill their transcript fees to their ACORN/ROSI account if:
* they have no administrative or financial holds; and
* they have a REG (Registered) status in the current and/or future term or an INVIT (Invited) status for a future term; and
* their student account balance has a debit balance of greater than $0 (i.e., they currently have fees owing to the university but do not have a financial hold.)
All three conditions listed above must be met for a student to bill their ACORN/ROSI account. Having a credit balance on your account does not enable you to have your ACORN/ROSI account billed.
Additional Courier Charges
FedEx will impose an additional fee if:
* the address is incomplete;
* you change the address after your initial request is made; or
* you arrange for redelivery at another time.
You will be responsible for covering the additional fees. Failure to pay these additional charges will result in a financial hold being placed on the individual’s record.
Transcripts for Third Parties
Transcripts that will be passed on by the student/alumnus to a third party, e.g., academic Institutions, employers etc., should be kept in the signed and sealed envelope issued. If the envelope is opened before it reaches the intended recipient, it may not be accepted. (Students must not open the envelope).

A duplicate transcript will only be issued once. Please note that any changes made to the recipient address constitute a new chargeable order. Students/alumni are responsible for following up to ensure that their transcript has arrived. Duplicates are issued upon the request of the student/alumnus at no charge within six months of the initial request date and only if the recipient has not received the original transcript after two weeks for destinations within Canada and four weeks for US and international destination. Such requests should be made directly to University of Toronto Transcript Centre.
The University of Toronto respects your privacy. Personal information that you provide to the University is collected pursuant to section 2(14) of the University of Toronto Act, 1971. It is collected for the purpose of administering admissions, registration, academic programs, university-related student activities, activities of student societies, financial assistance and awards, graduation and university advancement, and for the purpose of statistical reporting to government agencies. At all times, it will be protected in accordance with the Freedom of Information and Protection of Privacy Act (FIPPA). Please note that your student number is considered personal information so based on the FIPPA regulations we are unable to release this information. We suggest you submit the on-line or paper transcript request form. When you receive your transcript your student number will be shown.
Graduate Student Transcripts
Graduate students with both an undergraduate and graduate University of Toronto academic record may now request that the University of Toronto Transcript Centre send only their graduate academic record. If this option is requested on the transcript order form, only the courses and grades taken as a University of Toronto graduate student will appear on the transcript that is sent. However, the registration history and graduation summary (found at the top of the transcript) will continue to show all of your University of Toronto registration history and degrees.
Graduate students submitting transcripts to other institutions or agencies should check the requirements of these organizations. Application for admission normally required the complete academic record.
Tracking Forms Accompanying the Transcript
If the recipient (e.g., an educational institution) requires that a tracking form be included with your transcript please submit your transcript order via ACORN/ROSI (the Student Web Service). You will be able to upload your tracking form as a PDF or image file as part of your transcript order. There is no additional charge for including these documents.
Note: only tracking forms will be included with transcripts, letters, or other documents will not be included with the official transcript. Students/alumni needing to include additional information should arrange to have the transcript sent to them or picked up. Students/alumni should then package the transcript (in the unopened envelope) along with the additional documents and send it to the recipient.
Only Paper UofT Transcripts are Official
The University of Toronto does not currently issue electronic versions of transcripts, only paper transcripts issued by the University of Toronto Transcript Centre sent to a recipient in a sealed/signed envelope from the Transcript Centre are considered the official. For urgent transcript requests Fed Ex option should be selected when ordering a transcript.
